Getting Started

Signing in

Access to ACS EHR is provisioned by your organization. Staff accounts are secured with password + multi-factor authentication (MFA) and, where enabled, one-time passcodes (OTP).

  • Your organization administrator creates your account and assigns your role.
  • You can be a member of multiple organizations and switch between them from within the app.
  • Access is scoped by role and organization — you only see what your role permits.

Roles

ACS EHR uses role-based access control (RBAC). Typical roles include:

RoleTypical responsibilities
Front deskCreate clients, complete intake, schedule appointments.
ClinicianAssessments, treatment plans, progress notes, discharge summaries.
Clinical / Program directorManage staff & permissions, templates, compliance settings.
Billing / AdminCreate encounters, submit claims, post payments, manage denials.
Compliance officerTraining/certification, inspections, drills, audit and access reviews.

Exact role names and permissions are configured per organization by your administrator.

Core workflows

The application is organized around day-to-day clinical and billing workflows:

  1. Intake — create the client, complete the intake checklist, and enroll them in a program (OP, IOP, or PRP).
  2. Clinical care — complete assessments (ASAM, PHQ-9, GAD-7, etc.), build a treatment plan, document progress notes, and manage medications.
  3. Billing — create encounters and charges, scrub and submit claims, monitor rejections/denials, and post payments from the ERA inbox.
  4. Compliance — complete required training, log inspections/drills, and use the audit trail for survey readiness.

Implementation path (for new organizations)

  1. Configuration — define programs, roles/permissions, note and assessment templates, and code sets.
  2. Data import — agree the supported source formats, field mapping, reconciliation, and validation scope with the implementation team before migration.
  3. Training — assign staff training/certification packages.
  4. Pilot — run a small caseload through intake → notes → claims → payment.
  5. Go live — enable full billing and clearinghouse connectivity.
