FAQ

General

What is ACS EHR? A cloud-based EHR and practice-management platform for behavioral health and psychiatric rehabilitation programs (OP, IOP, PRP). See the Overview.

Who is it for? Behavioral health clinics and PRP programs that need clinical documentation, billing, and workflows that support their CARF, COMAR, and HIPAA responsibilities.

Is it hosted or on-premise? ACS EHR is delivered as a cloud-hosted web application. Deployment and integration details are confirmed during implementation.

Clinical

How are notes structured? Progress notes are narrative-first — the narrative is the canonical record — with a section structure that can support an organization's documentation standards.

What assessments are included? ASAM, PHQ-9, GAD-7, PCL-5, DAST, AUDIT, WHO-5, CIWA/COWS, biomedical, readiness, and a standardized assessment engine for custom instruments.

Does it support AI? Yes — AI note drafting and Voice-to-Note with real-time speech recognition. AI output is a draft; a clinician reviews and signs before it becomes part of the record. Audio is streamed to the configured recognition service for transient processing, and ACS EHR does not retain raw audio as part of the designated record.

Billing

Which clearinghouses are supported? Claim submission and status workflows are available for configured clearinghouse connections. Supported vendors and transactions depend on the organization's implementation scope and agreements.

Does it handle denials? Yes — denial capture, codes, tasks, and pattern analysis.

Does it support ERA (835) and payment posting? Yes — an ERA inbox and payment posting with review/correction workflows.

Security & compliance

Is it HIPAA-aligned? ACS EHR provides security controls including encryption, RBAC, MFA, audit trails, break-glass access, and access recertification that can support an organization's HIPAA program. See Security & Compliance.

What standards does it support? Workflows are designed to support organizational activities related to CARF, Maryland COMAR, and HIPAA. Use of ACS EHR does not itself confer compliance or accreditation. See Security & Compliance.

Implementation

How long does implementation take? Timing depends on configuration, data migration, integrations, validation, and training scope. The implementation plan defines the schedule for each organization.

Can we migrate existing data? Data import is available for agreed source formats and mappings. Imported clinical data must be reconciled and validated before it is promoted into the operational chart.
